Restaurant Management Notion Template for Cafes

Picture the owner of a small neighbourhood cafe after close. The till report says it was a good day, but she is not sure the new lunch special is making money once ingredients are counted. The rota is on a whiteboard, supplier orders are in text messages, the opening checklist is laminated on the wall and the waste from the weekend went into the bin without a note. A restaurant management Notion template brings the menu, stock, suppliers, staff, shifts, sales, waste and checklists together so the numbers and the routines sit side by side.

This guide covers how to organise a cafe or restaurant in Notion, and what Restaurant & Cafe OS includes if you would like it ready-made.

The problem with running a kitchen from memory

Food businesses run on routines and thin margins. The routines (opening, closing, food safety checks, stock counts) tend to live on paper. The numbers (food cost, labour cost, daily sales) tend to live in a till system, a spreadsheet or nowhere at all. When the two never meet, it is hard to see why a good-feeling week did not leave much profit.

Point-of-sale and restaurant software can do a lot, but small independents often use only a fraction and still keep side spreadsheets for rotas and costings. A linked Notion workspace will not replace your till, but it can hold the planning and admin layer that sits around it.

How to organise a cafe or restaurant in Notion

  1. Cost your menu from ingredients. Create Ingredients with a unit cost, then Menu Items that use them. A formula for food cost and margin per dish shows which items earn their place.
  2. Track stock with a reorder level. Add a current quantity and a minimum to each ingredient, and a filtered view shows what to reorder.
  3. Keep suppliers with delivery days and terms. Linking ingredients to suppliers tells you who to call for what, and when they deliver.
  4. Move purchase orders on a board. Draft, sent, received, paid. You always know what is outstanding.
  5. Plan the rota as shifts linked to staff. Each shift has a start, end and staff member. With an hourly rate on the staff record, a formula works out labour cost per shift.
  6. Log daily sales. One row per day with sales and covers. Combined with labour and food cost, you can calculate average check, labour percentage and prime cost.
  7. Record waste with a reason. Over-prep, spoilage, returns. Patterns show up quickly once waste is written down.
  8. Put checklists and SOPs in a database. Opening, closing and food safety checks are easier to update, and new staff can find them.

What to look for in any restaurant admin workspace

  • Menu costing that updates when ingredient prices change
  • Labour cost visible on the rota, before the week happens
  • Daily sales recorded consistently, so trends are real
  • Checklists that staff can open on a phone during service

Inside Restaurant & Cafe OS

Your first week with a restaurant management Notion template

A busy kitchen does not have time for a big setup project. These short steps fit around service:

  1. Rewrite the checklists first. Opening, closing and food safety checks that match your actual routine give staff a reason to open the workspace from day one.
  2. Add your suppliers. Delivery days and terms for each one.
  3. Enter your top-selling dishes and their ingredients. You do not need the whole menu at once. Costing your best sellers first shows where margin matters most.
  4. Add staff and next week’s rota. With hourly rates in place, labour cost per shift appears automatically.
  5. Log daily sales every night. A week of entries is enough to start seeing average check and labour percentage.
  6. Start the waste log. Keep it quick: item, amount, reason.

After the first week, review the numbers together: food cost on the menu gallery, labour from the rota and the sales trend. That combined view is the main reason to link them.

If you have a manager or head chef, give them ownership of the stock and waste logs so the numbers stay current.

Common mistakes to avoid

  • Costing dishes once and never updating ingredient prices when suppliers change them
  • Logging sales some days and not others, which makes the trend chart misleading
  • Treating the waste log as a punishment; it works best as a quick, blame-free note

Who it is for (and who it is not for)

A good fit for:

  • Independent cafe and coffee shop owners
  • Small restaurant, bakery or deli owners who handle their own admin
  • Managers who want menu costing, rotas and checklists in a shared workspace
  • Owners who want to understand food cost, labour and prime cost without a complex system

Not the right fit if you:

  • Need a point-of-sale system, online ordering or table bookings
  • Want automatic sales import from your till
  • Run a multi-site group with central purchasing software
