Wedding Planner Business Notion Template: Run Your Studio

Picture a wedding planner with six couples on the books this season. One wedding is next month, two are in the deposit stage, and three are still choosing venues. The vendor contacts live in her phone, the budgets live in separate spreadsheets, the RSVP list is a shared doc the couple keeps editing, and the run of show for Saturday is a printed draft covered in arrows. Nothing is lost yet, but every morning starts with ten minutes of hunting. A wedding planner business Notion template is built for exactly this moment: the point where your studio has outgrown sticky notes but you do not want a heavy, expensive wedding software subscription.

This guide walks through how to organise a wedding planning business in Notion, what to track, and how the Wedding Planner Studio template puts it together if you would rather not build it from scratch.

Why wedding planners outgrow scattered tools

A single wedding has a surprising number of moving parts: the couple, their package, a planning checklist that runs over many months, a dozen or more vendors, a budget with deposits and balances, a guest list with meal choices and table numbers, and a minute-by-minute timeline for the day itself. Multiply that by several couples at different stages and the problem is not any one task. It is the connections between them.

The usual fixes each solve one piece. A spreadsheet handles the budget but knows nothing about the checklist. A generic project tool tracks tasks but not RSVPs or seating. A notes app holds the mood board ideas but not which ones the couple approved. When information sits in separate places, you end up copying the same details over and over, and the copy you look at on the day is not always the latest one.

Most templates aimed at weddings are also built for couples planning their own day, not for a planner running a business with many couples, invoices and a sales pipeline. That difference matters: you need to see your whole studio at a glance and then drop into one couple’s details without losing context.

How to set up a wedding planner business Notion template

Whether you build your own workspace or start from a template, these are the building blocks that make a wedding studio easier to run.

  1. Start with a client pipeline. Create a Couples database with a Stage property: inquiry, consultation, booked, planning, final details, wedding week, completed, thank-you sent. A board view grouped by stage shows at a glance who needs a follow-up.
  2. Give every couple a hub page. Inside each couple’s record, add the wedding date, package and venue, then linked views of their checklist, budget, guests and timeline filtered to that couple. This is the page you open in client meetings.
  3. Build the checklist by months-out. Instead of fixed dates, give each task a “months before the wedding” number. A formula can then work out the due date from the wedding date and flag tasks as due this week or overdue.
  4. Keep one vendor directory. Florists, photographers, caterers and venues you work with again and again belong in one shared database with category, price tier and contact details, linked to each wedding where you book them.
  5. Track estimate vs. actual. For each budget line, record the estimated cost, the actual cost, what has been paid and the balance due. A rollup on the couple’s page gives the total without any manual adding up.
  6. Separate your own invoices from the couple’s budget. Your retainer and instalments are your studio’s income, not part of the wedding budget. Keep them in their own database so you always know what you are owed.
  7. Write the run of show as a database, not a document. Each row is a time slot with the activity, the lead person and the vendor involved. Sorted by time, it becomes your printable timeline; filtered by vendor, it becomes a call sheet.

Tip: use relations rather than retyping names. When a vendor’s phone number changes, you update it once and every wedding that uses them shows the new number.

Inside the Wedding Planner Studio template

Wedding Planner Studio is a Notion template for wedding planners and planning studios. It connects the client pipeline, couple hub pages, checklist, vendors, budgets, studio invoices, RSVPs and the run of show in 8 linked databases, using relations, rollups and formulas so the pieces talk to each other.

Home dashboard

The home page shows upcoming weddings, your next tasks, payments to collect and revenue by package. It is the screen to open first thing in the morning.

Client pipeline

Couples move through a client pipeline in 7 stages, from inquiry to thank-you card, so you can see who needs a proposal, who needs a nudge and who is ready for their final walkthrough.

Couple hub pages

Each couple gets their own page with a live countdown, their stage, package and a progress ring, plus linked views of their checklist, budget, guests, run of show, invoices and mood board.

Planning checklist

Tasks are sorted by months-out, with an automatic Done, Overdue or This week status, so nothing quietly slips past its date.

Vendors, budget and bookings

The vendor directory tracks category, rating, price tier and contacts. Budget and bookings show estimate vs. actual, what has been paid, the balance due and the next payment date.

Studio invoices

Your own retainers, instalments and final balances sit in a separate invoices database, with a spend-by-category chart.

Guests and seating

An RSVP board records each guest’s meal choice and table, and shows attending vs. invited.

Run of show and mood boards

The run of show is a timeline to the minute, with the lead person and vendor for each slot. Each couple also has a mood board with an “approved by couple” checkbox, so you know which ideas are signed off.

Sample weddings are included so you can see how everything connects, and they are easy to clear when you are ready to add your own couples.

Who it is for (and who it is not for)

A good fit if you are:

  • An independent wedding planner or coordinator managing several couples at once
  • A small planning studio that wants clients, vendors, budgets and timelines connected
  • A day-of coordinator who needs a reliable run of show and guest list
  • Already comfortable in Notion, or happy to learn the basics

Probably not the right fit if you:

  • Are a couple planning your own wedding and want a simple personal checklist
  • Need built-in online payments, e-signatures or a client login portal
  • Prefer to work only in spreadsheets or on paper

If you also take on general freelance or consulting work alongside weddings, the Freelance Management System covers projects and clients outside the wedding season. You can browse more options in our Notion templates collection.
