Law Firm Notion Template for Solo Attorneys & Small Firms

Picture a solo attorney on a Monday morning. A hearing on Thursday, a filing deadline on Friday, two prospective clients who called over the weekend, and a nagging sense that last month’s hours never made it onto an invoice. The case files are in one folder, the calendar is in another app, time is noted on a legal pad and intake is a stack of emails. A law firm Notion template pulls clients, matters, deadlines, documents, time and invoices into a linked workspace, so the important dates and the unbilled hours are in front of you instead of buried.

Here is how to organise a small practice in Notion, and what Law Firm OS includes if you want it set up for you.

Why small practices struggle with scattered tools

Legal practice management software exists, but much of it is built and priced for larger firms. Solo attorneys and small firms often end up with a mix of general tools: a calendar for court dates, a spreadsheet for time, a document folder per client and email for intake. The work gets done, but the connections are missing.

That creates real risks. A deadline sits in the calendar but is not tied to the matter it belongs to. Hours are recorded but never reach an invoice. An intake call does not get a follow-up because it lived only in an inbox. Each gap is small, and each one costs time or money.

How to organise a law practice in Notion

These steps are useful whether you build your own setup or start from a template.

  1. Make the Matter the centre. Each matter links to a client, and everything else (deadlines, documents, time, invoices, tasks) links to the matter.
  2. Run intake as a pipeline. Track prospects from first contact to retained, with a follow-up date. A filtered view of follow-ups due today keeps leads from going cold.
  3. Give deadlines their own database. Hearings, filings and key dates each get a row with a type and a date. A formula showing days remaining, and a view sorted by date, gives you an early warning list.
  4. Log time against matters with a rate. If each matter has a rate, a formula can price every time entry. A rollup then shows unbilled hours per client.
  5. Link documents and contracts to matters. Store a link or file reference, the document type and its status, so you can see what is outstanding.
  6. Keep a knowledge base. Precedents, checklists and standard procedures you reuse belong in a searchable database, not scattered notes.
  7. Review weekly. Check the deadline view for the next two weeks and the unbilled time view before sending invoices.

What to look for in any law practice workspace

  • Deadlines linked to matters, with a clear view of what is coming up in the next two weeks
  • Time entries that carry the matter’s rate, so billing does not need a second calculation
  • An intake stage with follow-up dates, so prospective clients are not forgotten
  • A way to see unbilled time per client before you send invoices

Inside Law Firm OS

Law Firm OS is a Notion template for solo attorneys and small firms. It has 9 linked databases: Clients, Intake, Matters, Deadlines & Hearings, Documents & Contracts, Time Entries, Invoices, Tasks and Knowledge Base. Every record links to the rest, so totals, progress and alerts update on their own.

Your first week with a law firm Notion template

Moving a live practice into a new workspace works best in a set order, so that dates come first and history comes last.

  1. Enter open matters and their clients. Only active work at first. Closed files can stay where they are.
  2. Add every upcoming deadline and hearing. This is the most important step. Check each one against your existing calendar before relying on the new view.
  3. Set the rate on each matter. Once rates are in, time entries price themselves.
  4. Log time from this week. Start recording time as you work, then add any unbilled hours from earlier in the month.
  5. Move current intake into the pipeline. Add prospects you are talking to now, each with a follow-up date.
  6. Start the knowledge base small. Add two or three checklists you use often. Grow it as you go.

A weekly review then keeps it reliable: scan the next fourteen days of deadlines, clear finished tasks and check unbilled hours before invoicing.

Common mistakes to avoid

  • Keeping deadlines in two places without deciding which is the source of truth
  • Logging time without linking it to a matter, so it never reaches an invoice
  • Copying sensitive documents into Notion when a link to your existing storage would do

Who it is for (and who it is not for)

A good fit for:

  • Solo attorneys who manage their own admin
  • Small firms that want matters, deadlines and billing linked
  • Paralegals or practice managers organising a small team’s workload
  • Lawyers already using Notion for notes who want structure around it

Not the right fit if you:

  • Need trust accounting, e-billing standards or court rules-based deadline calculation
  • Require document assembly, conflict-check software or a client portal
  • Have firm policies that rule out storing client information in Notion

If you also support other professionals, Virtual Assistant Studio OS follows the same linked structure for client work. Browse all Notion templates.
