Tradify vs a Notion Construction Template for Small Contractors

A template is cheap until someone has to retype every invoice. Job software is tidy until you are paying for 15 logins.
Quick answer
Tradify vs a Notion construction template comes down to what your week is made of. If it is quotes, invoices and crews in the field, Tradify does the work a template can only record. If it is a few longer jobs that need good records, a template in Notion costs far less and bends to fit.
- Choose Tradify if you send quotes often, need customers to accept and pay online, want invoices to sync to Xero, QuickBooks or MYOB, or need staff timesheets from phones.
- Choose a Notion template if you are 1 to 3 people, quote rarely, and mainly need to track jobs, costs, subcontractors, safety records and handover.
- Use both if Tradify runs the money and the field, and Notion holds the records Tradify does not cover well.
- Dead zones: Tradify says it does not work offline. Notion has offline mode, with limits that matter on site.
This is a decision guide for contractors with 1 to 15 people. It does not repeat our full Tradify review, which covers the product plan by plan. Everything below comes from official pricing pages and help documents. It is an informed guide, not a hands-on test.
Create Digital Tools sells construction templates for Notion, and we also earn a commission on Tradify and Notion signups. So we have a stake on both sides, and we state below what our templates cannot do.
What you are really comparing
Tradify is job management software for trades. It has a defined path from inquiry to quote, job, invoice and payment, and it runs in a browser and on iOS and Android apps. You rent it per user each month.
A Notion construction template is linked databases inside Notion, a general workspace. You pay once for the template and it becomes your own copy. Notion only knows the fields you and the template give it.
So the useful question is how much of your admin is acting (sending, syncing, notifying, taking payment) and how much is recording.
Tradify vs a Notion Construction Template: side-by-side comparison
The Notion column describes Notion plus a template, because that is the real product you would run. Tradify plan names refer to its US pricing page unless noted.
| Area | Tradify | Notion plus a construction template |
|---|---|---|
| Quoting | Built in. Send from phone or desktop, automatic reminders, customers accept online. Options and online acceptance listed from Pro. | A database of quotes you fill in. No built-in sending, customer acceptance or reminders. |
| Job scheduling | Drag and drop scheduler, three calendar layouts, push and email alerts to staff, Google Calendar sync. | Calendar and timeline views you filter yourself. Assignment is a field, not a dispatch tool. |
| Timesheets | Live job timer or manual entry on any device, on Pro and up. Office can download as PDF or CSV. | Labour rows logged by hand against a job. Totals come from rollups. |
| Mobile in the field | iOS and Android apps built around jobs, time, photos and notes. | Notion mobile apps. Works, but large dashboards are easier to read on a desktop. |
| Offline | Tradify says it does not work offline, on web or mobile. | Apps only. Downloaded pages can be edited. Databases download the first 50 rows of the first view. |
| Accounting | Sync with Xero and QuickBooks (US, UK, AU pages), Sage (UK page), MYOB (AU page). | No built-in accounting sync in the Notion pages read for this guide. |
| Supplier pricing and POs | CSV price list imports. Purchase orders on Plus, linked to jobs and bills. | Materials and vendor databases you maintain by hand. |
| Payments | Card payments through Stripe. US page lists 3.1% + $0.30 per charge. | None. Log the payment status yourself. |
| Documents and photos | Photos, videos and files on jobs from Pro. | Files and photos on any page. Free plan caps uploads at 5 MB per file. |
| Forms and safety records | Forms and certificates vary by country. JSA and SWMS for AU and NZ, certificates for the UK. | Editable logs for any regime you set up. Notion forms exist but need a connection. |
| Crew permissions | Field staff limited to assigned jobs and can add materials without seeing financial figures. | Page and database access levels. Rules per row need Business or Enterprise. |
| Customising | Categories, statuses, themes, templates and permissions. The workflow itself is fixed. | Change nearly anything, and break nearly anything. |
| Exports | CSV by module. Account inaccessible once cancelled. | HTML, Markdown and CSV, with uploaded files. No automatic scheduled backups yet. |
| Pricing shape | Per user per month. 14-day trial, no free plan. | One-off template fee, plus Notion per member if you need a paid plan. |
Quoting and job scheduling
Quoting
This is Tradify’s clearest win. Its quoting page says you can build and send quotes from a phone or desktop, follow up with automatic email reminders, and let customers accept and comment from an emailed link. An accepted quote can then become a job or invoice in a few clicks.
A Notion template stores the quote, its status and its value. Sending it and updating the status are on you. At two quotes a month, that is fine. At ten a week, it is the problem you were trying to solve.
Scheduling
Tradify’s scheduling page describes drag and drop appointments, timeline, planner and calendar views, automatic push and email notifications to staff, recurring jobs, and customer reminders. Check the plan: recurring jobs, appointment reminders and subcontractor scheduling are listed from Pro.
In Notion you can show jobs on a calendar or timeline and filter by person. The gap appears when plans change at 7am and the person on the van needs to be told, not to go and look.
Timesheets and field use
On Pro and above, Tradify offers timesheets with a start and stop timer or manual hours, recorded against a specific job. Office staff can download weekly timesheets as a PDF or CSV. The page does not describe an approval step or a payroll integration, so ask Tradify if you need either.
A template logs labour as rows: person, job, date, hours. Rollups total them per job. There is no timer and no automatic chasing, so your crew has to open the app and type a row each day. That habit is usually where these setups fail.
Offline use on site
This matters if you work in basements, rural sites or new builds without signal. Tradify’s help centre says that Tradify does not work offline, because it depends on a live internet connection. That covers the browser and the mobile app.
Notion does have offline mode, on every plan, and this is a real point in its favour. The limits are specific, though:
- It works in the desktop and mobile apps, not in a web browser.
- You download pages one at a time. On paid plans, recents and favourites also download automatically.
- Downloading a database gets only the first 50 rows of the first view. Other rows must be downloaded individually.
- Downloads are per device, so a page saved on your phone is not on your laptop or your colleague’s phone.
- Forms, buttons, embeds and AI blocks need a connection. Subpages do not come along automatically.
- If two people change the same select property offline, Notion says only one change is saved.
So Notion offline needs preparing before anyone drives to site: make the most useful view the first view, and download it on each phone. Otherwise today’s job can sit at row 51.
Invoicing, accounting and payments
Tradify lists accounting differently by country, so read your own page:
- US: Xero and QuickBooks Online on every plan, per the US pricing page.
- UK: Xero, Sage and QuickBooks Online, per the UK pricing page.
- Australia: QuickBooks Online, Xero and MYOB, per the AU pricing page. MYOB is not mentioned on the US or UK pages.
Tradify’s Xero page describes invoices, bills, payments and contacts moving between the two, and calls it a two-way sync. The QuickBooks page covers similar items but does not say whether QuickBooks Desktop is supported, so the pricing page’s “QuickBooks Online” wording is the safer reading.
Card payments run through Stripe. Tradify’s US page gives a fee of 3.1% plus $0.30 per successful charge, with the first payout 7 days after payment and later ones after 2 days. Confirm the rate for your country.
A Notion template has none of this. It can tell you which invoices are unpaid and who to chase. Issuing the invoice, recording it in your books and taking payment happen somewhere else, so Xero or QuickBooks users enter each invoice twice.
A third-party automation tool might bridge that gap, but it adds another subscription and another thing to maintain, so price it before relying on it.
Supplier pricing and purchase orders
Tradify lets you import a supplier price list as a CSV. Only the item code, description and buy price are required, and the help article notes that some Australian suppliers provide files ready for import. Quotes can then pull from those lists.
Purchase orders can be drafted by staff, approved, sent to suppliers, and linked to jobs and supplier invoices. Purchase orders are listed on Plus only, on the US, UK and AU pages, which adds $10 per user over Pro in the US.
In Notion, materials and vendors are databases you keep current by hand. For a builder ordering a few times per job, that may be enough. For an electrical or plumbing shop with thousands of parts, it will not be.
Documents, forms and safety records
Tradify attaches photos, videos, notes and files to jobs, listed from Pro on its US page. Forms and certificates are where the country matters most:
- Tradify’s forms and certificates post says forms are specific to your region and lists UK, Australian and New Zealand categories. It does not list US ones.
- JSA and SWMS forms follow New Zealand and Australian regulations and can be signed and printed.
- The AU pricing page lists forms and certificates on Pro and Plus. The UK page lists compliance certificates from Pro. The US page does not list certificates.
- The same post does not describe a way to build your own forms. It invites users to request new ones.
Notion takes the opposite approach. It ships no certificates, but you can build whichever log you need. Our Construction Safety and Compliance HQ ($29 on its product page) has databases for workers, training, toolbox talks, inspections, incidents, corrective actions and permits, with expiry flags. Its page also says it is an organising tool, not legal or safety advice.
Notion forms are available on all plans and can be opened by people without Notion if you share by public link. Conditional logic needs Business or Enterprise, and forms need a connection, so they will not help in a dead zone.
Two limits on the Notion side. A record in a database is not automatically a compliant document, and the pages read for this guide do not describe a signature feature. If a regulator or customer expects a signed certificate in a set format, a log alone will not satisfy them.
Permissions for crews
Tradify’s staff permissions are designed for this exact problem. A user with “Jobs and Timesheets” sees only assigned jobs and can add materials to job costs without seeing financial figures. Quoting, invoicing, purchases, reports and scheduling are separate permissions you switch on per person.
Notion’s sharing and permissions work per page, with Full access, Can edit, Can comment and Can view, plus Can edit content for databases. Rules that give people access to only their own rows, through a person property, need Business or Enterprise.
If your crew shares a database on Free or Plus, treat a filtered view as a convenience, not a lock. To hide margins or pay rates, keep them on a page the crew is not invited to, or budget for Business.
Guests are the other wrinkle. Notion’s pricing page says guests are free but can only access individual pages they are invited to, and they need their own Notion account. That suits a subcontractor who needs one job page.
What it costs at 1, 5 and 15 users
Pricing as of November 2026. Tradify prices below come from the US pricing page in USD, listed per user per month. That page shows no annual plan or tax wording. Notion prices come from Notion’s pricing page, per member per month.
| Monthly cost | 1 user | 5 users | 15 users |
|---|---|---|---|
| Tradify Lite ($47) | $47 | $235 | $705 |
| Tradify Pro ($51) | $51 | $255 | $765 |
| Tradify Plus ($61) | $61 | $305 | $915 |
| Notion Free | $0 | See note | See note |
| Notion Plus ($10) | $10 | $50 | $150 |
| Notion Business ($20) | $20 | $100 | $300 |
The working is price multiplied by users. The caveats change the answer:
- Other countries: Tradify’s AU page lists A$48, A$52 and A$62 per user per month excluding GST. Its UK page lists £34, £37 and £44 and does not state whether VAT is included. We did not read every regional page.
- Lite is rarely the real price for a crew: timesheets, job photos and files start at Pro, and purchase orders at Plus.
- People without logins: Tradify asks for staff with and without login access when you subscribe. The help pages we read do not state what a no-login staff member costs, so ask. Its purchase order page also says you can talk to Tradify about team pricing, without giving figures.
- Notion billing: the page shows $10 and $20 next to a “Pay monthly / Pay yearly” toggle and says “Save up to 20% with yearly”. The page text we read does not say which option those figures reflect, so confirm the amount at checkout.
- Notion Free for teams: a workspace with one member has no block limit. With two or more members, Notion’s help says the workspace is capped at 1,000 blocks, and deleting content does not reduce the count. Each line or table row is a block, so a construction template with its sample data will use that up quickly.
- Guests instead of seats: one paying member plus guests is cheaper, but guests see only the pages you share. The pricing page shows an external guest limit of 10 without a clear plan label in the text we read, so check your plan.
- Template fee: our Construction Business Pack shows $89 on its product page, once, not per user.
So a first year for 5 people works out like this: Tradify Pro is $3,060 ($255 x 12). Notion Plus plus the pack is $689 ($50 x 12 + $89). At 15 people it is $9,180 against $1,889.
Do not read that gap as a saving yet. Tradify’s fee buys sending, syncing and alerts, and on Notion someone does that work by hand. At 5 people the gap is about $205 a month. Divide it by what an hour of office time costs you, and ask whether the software would save more hours than that.
Customising, lock-in and exports
Notion wins on flexibility. You can add a retention field, a defects period, a variation register or a new trade category in minutes. The cost is that anyone with edit rights can also break a formula or a relation.
Tradify lets you adjust categories, statuses, document themes, job templates and permissions. The underlying workflow stays as designed, which also means less to maintain.
On leaving: Tradify’s export article lists CSV exports for enquiries, jobs, invoices, quotes, purchase orders, bills, timesheets, customers, sites, suppliers and price lists. Its cancellation article warns that once you cancel, your account is no longer accessible. Those articles do not cover job photos and files, so ask how you would get them out, and export before you cancel.
Notion can export pages as HTML, Markdown or CSV, with uploaded files, and a full workspace export can be started from desktop or web. Notion also warns that you cannot instantly recreate a workspace by uploading the export, and automatic scheduled backups are not available yet. Your data is portable; the system built around it is not.
What a Notion template cannot do
We sell these, so here is the plain list. Our Construction Business Pack has four templates: Construction Project Manager, Construction Management System, Finance Tracker for Business and Project Cost Tracker. Our construction Notion template guide explains how they fit together. Out of the box, they cannot:
- Send a branded quote and record a customer’s online acceptance.
- Take a card payment or sync an invoice to your accounting software.
- Push a schedule change to a worker’s phone the way dedicated job software does.
- Run a job timer, or chase people for missing hours.
- Load a supplier price file or send a purchase order.
- Run payroll, file tax, or issue a certificate that meets a regulation.
Automations in some of our narrower templates need a paid Notion plan, and those product pages say so. No template can fix a crew that will not log anything.
For the jobs side, our Notion template for contractors guide lists the wider set, including the Subcontractor and Pay App HQ and Snagging and Handover HQ (each $29 on its product page). Records like insurance expiry, pay applications, snags and handover documents are where Notion is most useful for a small builder.
A sensible path: start small, move on clear triggers
You do not need to decide forever. A practical order:
- Solo or a pair, few quotes: start with one job, your cost tracking and your invoices list in Notion. Keep your existing accounting software for the invoices themselves. One-member Notion Free is enough to learn on.
- Run a real job through it for a month. Note which tasks you do twice, and where you lost time.
- When a trigger below appears, start the Tradify trial. The 14-day trial includes all features, and Tradify says no card is required. Put real quotes through it, not sample data, and test the phone app at your worst signal site.
- Keep Notion only for what Tradify does not cover. Export customers and suppliers as CSV and bring them across; Tradify lists import options for both.
Triggers to move to Tradify
Rules of thumb, not measured thresholds:
- You send several quotes a week and lose track of which ones to follow up.
- You retype invoices from one system into Xero, QuickBooks or MYOB.
- You want customers to accept quotes or pay by card online.
- Three or more people need to submit hours against jobs, and you chase them every Friday.
- Staff need to be told about schedule changes, not just able to look them up.
- Your crew should not see prices or margins, and you do not want to pay for Notion Business.
- You work in the UK, Australia or New Zealand and need certificates that Tradify lists for your region.
Reasons to stay in Notion
- You run a few long jobs a year, rather than many short ones.
- Your paperwork is subcontractor, snagging and handover records more than quotes.
- Your site often has no signal and you are willing to prepare offline pages.
- Five to 15 people, but only two or three need a login.
Using both
Let Tradify own quotes, schedule, time, invoices and job costs. Let Notion own the things around them: procedures, inductions, toolbox talks, the subcontractor insurance register, and handover packs.
The rule that keeps this working: each record lives in one system only. The Tradify pages read for this guide do not list a Notion integration, so link across by pasting the Tradify job number into your Notion page.
Real downsides, and who should not choose each
Tradify downsides
- No offline use, by Tradify’s own statement. Serious if your sites have no signal.
- Per-user cost at 15 people is $765 a month on Pro in the US.
- No Gantt chart or staged programme is mentioned on its project management page, so longer builds may feel squeezed.
Do not choose Tradify if you work mostly without signal, you run a few long projects with little quoting, or most of your staff need only occasional access and no-login pricing does not suit you. Our review covers alternatives.
Notion template downsides
- Someone has to own the workspace. If that person leaves, the knowledge often goes too.
- Offline needs preparing per device, with the 50 row limit on databases.
- Rules per row need Business, which doubles the seat price over Plus.
Do not choose a Notion template if you quote daily, need customers to pay online, want time captured with a timer, have a parts-heavy trade with long price lists, or need signed certificates. If that is you, start with Tradify and skip our templates.
Verdict
For a trade business that runs many short jobs, Tradify is the better default from about two or three people, because its fee pays for work a template leaves with you. For a solo builder or small crew with few quotes and long jobs, a Notion template is the sensible, low-risk start, and you can move later.
If you are unsure, you can try Notion free, or run real jobs through the Tradify trial for 14 days.
Tradify vs Notion Construction Template FAQ
Can a Notion template replace Tradify?
For job tracking, costs and records, it can for a small crew. It cannot replace sending quotes for online acceptance, taking card payments, syncing invoices to accounting software, or pushing schedule alerts.
Does Tradify work offline?
No. Tradify’s help centre says it does not work offline, because it depends on a live internet connection. That applies to both the browser version and the mobile app.
Does Notion work offline on site?
Yes, in the desktop and mobile apps, on all plans, but pages must be downloaded per device in advance. Databases download the first 50 rows of the first view, and forms and buttons do not work offline.
Does Tradify integrate with MYOB?
Tradify’s Australian pricing page lists MYOB sync on Lite, Pro, Plus and Custom. MYOB does not appear on the US or UK pricing pages we read, which list Xero and QuickBooks Online, plus Sage in the UK.
How much does Tradify cost for 5 users compared with Notion?
At US list prices as of November 2026, Tradify Pro is $255 a month for 5 users, and Notion Plus is $50 a month. A template is a one-off cost on top, and the two prices buy different things.
Do I need a paid Notion plan to use a construction template?
Not if one member runs the workspace. Our pack states that it works on Notion’s free plan. With two or more members, the free plan’s 1,000 block cap comes into play, and automations in some templates need a paid plan. Most teams will want Plus at least.
