Etsy Profit Spreadsheet: See Your Real Profit per Order

Picture a candle maker who sells on Etsy. Orders are coming in, the shop dashboard shows a healthy revenue figure, and yet the bank balance at the end of the month never seems to match. Somewhere between the listing fee, the transaction fee, payment processing, the odd Offsite Ads sale, wax, jars, labels and the hours spent pouring, the profit quietly shrinks. An Etsy profit spreadsheet is the simplest way to see where it goes: every fee itemised on every order, real costs counted, and a monthly profit and loss you can trust.

This guide walks through how to set up profit tracking for an Etsy shop, what to include, and how the Etsy Seller Profit Spreadsheet for Excel and Google Sheets handles it for you if you would rather start with the structure already built.

Why Etsy revenue is not the same as Etsy profit

Etsy shows you sales. It does not show you what each sale actually left in your pocket once your own costs are counted. The gap comes from three places:

  • Fees stack up per order. A single sale can carry a listing fee, a transaction fee, a payment processing percentage plus a fixed amount, and on some orders an Offsite Ads fee, currency conversion or a regulatory fee. Each one looks small on its own.
  • Product costs live somewhere else. Materials, packaging and labels are usually in receipts or a notes app, not next to the sale they belong to.
  • Your time is invisible. If a product takes an hour to make and sells at a price that barely covers materials and fees, the shop can look busy while paying you very little per hour.

The usual fixes fall short. The payment deposit summary mixes everything together. A generic budget spreadsheet has no idea what an Etsy fee is. A notebook works until you have more than a handful of products. What you need is a structure built around how Etsy actually charges sellers.

How to set up an Etsy profit spreadsheet yourself

Whether you build your own or use a template, these are the parts that make profit tracking work:

  1. A settings area for fee rates. Keep every fee rate (listing, transaction, processing percentage and fixed fee, Offsite Ads) in one settings tab and reference those cells everywhere else. When Etsy changes its fees, you update one place instead of hunting through formulas.
  2. A product cost list. For each product, list materials, packaging, labour and label costs. Labour is easy to skip, so give it its own column: minutes to make multiplied by the hourly rate you want to earn.
  3. A sales log with one row per order line. Record the sale price, then calculate each fee in its own column so you can see which fee is taking the most. Subtract product costs to get net profit for that line.
  4. A separate expenses tab. Etsy Ads, supplies bought in bulk, software and equipment are shop costs that do not belong to a single order. Log them by date and category.
  5. A monthly roll-up. Sum revenue, each fee type, product costs and expenses by month. Net profit and margin per month tell you whether the shop is growing or just getting busier.
  6. A pricing check. For any product, work out the break-even price (where profit is zero) and the price that hits your target margin. Compare that to what you charge today.

A practical tip: start with the last month of orders only. Getting one clean month in is far more useful than trying to backfill a whole year before you have seen a single result.

Inside the Etsy Seller Profit Spreadsheet

The Etsy Seller Profit Spreadsheet ($3.99) is an .xlsx workbook that works in Microsoft Excel and Google Sheets, built with formulas only and no macros. It comes with a Setup Guide PDF and a sample shop with 80 orders so you can see every calculation working before you add your own numbers.

Start Here and Setup

Start Here lists the setup steps and the fees the workbook counts. On the Setup tab you pick your country, and the processing percentage and fixed fee fill in. You also set the listing, transaction and Offsite Ads rates (with the per-order cap), currency conversion and regulatory fees, your target margin and your hourly rate. The country fee presets are editable, so you can update them when Etsy changes its fees.

Dashboard

The dashboard pulls together revenue, Etsy fees, net profit, margin, orders, average order value, fees as a percentage of revenue, profit this month, your top 5 products, where the fees go, and a chart.

Fee Calculator

Type in a single order and see every fee on it, the net profit, the margin and your real hourly rate. It also gives you the break-even price and the target-margin price for that item, with a chart. This is the tab to open before you set a price on a new listing.

Pricing

Room for 100 products, each with full cost (materials, packaging, labour and label), fees, profit, margin, a suggested price and an on-target flag that shows which products are below the margin you set.

Sales Log

1,500 order lines with listing, transaction, processing, Offsite Ads and other fees, item costs and net profit per line.

Expenses, Monthly P&L and Product Profit

The Expenses tab holds 500 rows of shop costs such as Etsy Ads, supplies, software and equipment. Monthly P&L shows 12 months of revenue, each fee type, costs, expenses, net profit and margin, with a chart. Product Profit ranks every product by units, revenue, fees, costs, net profit and margin, so you can see which listings carry the shop and which ones need a price change.

Who it is for (and who it is not for)

A good fit if you:

  • Sell handmade, vintage or digital items on Etsy and want profit per order, not just revenue
  • Count your making time and want to see your real hourly rate
  • Want to price new listings from break-even and target margin instead of guessing
  • Prefer a spreadsheet you own over another monthly subscription

Probably not a fit if you:

  • Need full inventory management with stock levels across several sales channels
  • Want automatic syncing with your Etsy account (this is a spreadsheet you fill in yourself)
  • Need a complete accounting package for filing returns

Selling on more than Etsy, or want cash flow and budget workbooks too? The Small Business Finance Spreadsheet Bundle includes this workbook with four others. For listing copy and shop descriptions, see 3,000 AI Prompts for Etsy Sellers, or browse all spreadsheet templates.

FAQ

Does it work in Excel and Google Sheets?

Yes. You download an .xlsx file. In Excel, just open it. In Google Sheets, create a blank sheet, then go to File > Import > Upload > Replace spreadsheet. It uses formulas only, with no macros.

What happens when Etsy changes its fees?

Fee rates live on the Setup tab and the country presets are editable. Check Etsy’s current fee page and update the rates there; the rest of the workbook follows.

Is it an instant download?

Yes. It is a digital download with the .xlsx file and the Setup Guide PDF. Nothing physical is shipped.

Can I use it on my phone?

A computer is recommended for setup. The Google Sheets app works for quick updates once it is set up.

Can I change the categories and columns?

Yes, it is your file. You can rename expense categories, add products and adjust your target margin and hourly rate at any time.
